​A London based international architectural practice with a diverse portfolio globally are looking for an Office Manager for their Harlesden based office. This is a varied and busy role where you will get involved in administration, office management, HR support, PA support to the director and assisting with various improvement projects. Manage the day to day running of the studio.

This is a fantastic architectural studio with some nice benefits including discretionary bonuses and Christmas closure on top of holiday allowance.

The Duties:


  • Diary management

  • Travel arrangements for all team members

  • Managing and maintaining filing systems (paper and electronic)

  • Ensuring company policies are maintained

  • Managing team timesheets

  • Managing company insurances

Office maintenance

  • Ensuring the day-to-day efficiency of the office is running smoothly

  • Managing office consumables

  • IT: managing printers and printer supplies, keeping software licenses and maintenance contracts up to date; liaising with external IT support.

HR support:

  • Holiday requests

  • Reviewing job applications, setting up interviews, drafting offers and employment contracts

  • Overseeing the onboarding, induction and training of new staff

PA support for Director:

  • Collating information for personal taxes

  • Calendar management

  • Preparation of materials for meetings

  • Organising personal trips

  • Providing general support

  • Working on Ad-hoc improvement projects

Education / Experience

You will be educated to at least A-level standard with a strong written English and numeracy skills
At least 4 years’ experience of a wide-ranging administration role
Experience of working as the sole administrator in a small company
Experience in an architectural or design office would be ideal

Skills and Competencies

Experienced user of MS Office
Strong with IT systems in general; experience of Rapport would be useful
Strong written skills – grammatically correct with a tone appropriate to the audience and situation
Strong verbal communication skills
Highly organised
Strong initiative, self-starter
Able to manage multiple priorities concurrently
